Privacy policy
This policy explains what personal information Newcastle Beds Ltd collects, why, and your rights over it. We are the data controller for your information under UK data protection law (UK GDPR and the Data Protection Act 2018).
1. What we collect
- Order details: your name, delivery and billing address, email, phone number, what you bought and the options you chose.
- Payment details: handled securely by our payment providers. We never see or store your full card number.
- Account details: your login email and order history, if you create an account.
- Communications: messages, calls, review requests and any photos you send us (for example of a damaged item).
- Website use: pages viewed, device and browser type, and IP address, collected through cookies (section 6).

3. Who we share it with
We only share what each company needs to provide its service to us:
- Shopify: our online store platform.
- Payment and finance: Shopify Payments, PayPal, Klarna, Clearpay and Zopa. Finance providers run their own credit checks under their own privacy policies.
- Delivery: our delivery partners and DX, so they can contact you and deliver your order.
- Email and messaging: Klaviyo, for order updates and (with your consent) marketing.
- Reviews and website tools: Trustify (reviews), Vidjet (product videos) and similar services that run parts of our website.
- Professional advisers and authorities: our accountants, insurers and legal advisers, or when the law requires it.
We never sell your personal information. Some providers store data outside the UK. When they do, they use approved safeguards such as the UK International Data Transfer Agreement.
4. How long we keep it
- Order and guarantee records: 6 years after your order (tax law) or until your guarantee ends, whichever is later.
- Marketing list: until you unsubscribe.
- Account details: until you close your account.
5. Your rights
You can ask us to access, correct or delete your information, restrict or object to how we use it, or move it to another provider. You can withdraw consent at any time. Email info@newcastlebeds.com and we will respond within one month. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
6. Cookies
We use essential cookies to run the website, remember your basket and keep checkout secure. With your permission, we also use analytics and advertising cookies to understand how people use our site and to show relevant adverts. You can choose which cookies to allow in our cookie banner, and change your choice at any time.
7. Security
Our website uses encrypted connections (HTTPS). Payments are processed by PCI-DSS compliant providers, and access to customer information is limited to staff who need it.
8. Children
Our website is for adults. We do not knowingly collect information from children under 13.
